How can open banking facilitate KSeF payments and service?

The introduction of KSeF in Poland will require businesses to adapt their IT systems to support the new standard of structured invoices. This task can be facilitated by solutions using open banking functions. Thanks to them, companies will cope not only with the invoices themselves, but also streamline the payment process.

The introduction of KSeF in Poland will require businesses to adapt their IT systems to support the new standard of structured invoices. This task can be facilitated by solutions using open banking functions. Thanks to them, companies will be able to handle not only the invoices themselves, but also streamline the payment process.

The idea of open banking is based on the AIS
(Account Information Service), through which different types of software can communicate with each other using APIs (Application Programming Interface). This means that, for example, payments and support for the emerging KSeF in Poland are able to provide:

  • online accounting platforms
  • invoicing software
  • workflow management systems


AIS - access to balance and list of transactions

With AIS, it is possible to access transaction history, balance information and a list of operations, including details such as bank charges and currency conversions. Using the accounting platform, this data can be used to:  

  • presentation of the current balance of funds in accounts
  • Linking outgoing payments with expense documents
  • Linking incoming transactions with incoming documents 
  • automatic generation of reports with a list of transactions 

Collect - one system for all incoming documents

Handling a traditional account requires logging into e-banking and manually generating a statement, which must then be passed to an accountant and manually entered into the application. This involves time-consuming linking of account transactions with invoices and posting of additional and technical operations. With AIS, the accounting application has continuous access to the list of transactions and links them to invoices on an ongoing basis, marking those that have been paid.

Payments, invoices and KSeF in one program

Solutions provided by Unifiedpost Group allow access to account information and order payments directly from the accounting application. All the information necessary for the transfer is taken from the expense documents, and the funds go to the bank designated by the customer. Thanks to open banking:

  • payments are made directly between the payer's account and the target account
  • payments contain information about the account number of the sender 
  • in the description of the transfer you can put exactly the data that the user ordered in the accounting system (invoice number, payment details) 
  • you can settle tax liabilities and dues to the Social Security Administration
  • in the payment order, you can add the invoice number in KSeF and link the payment to the invoice on the payee side
  • it is possible to make payments and transfers between your own accounts in different banks.

Using the API, the user, after selecting an expense invoice or liability for payment in the list, clicks on the "pay" button and is redirected to his bank's page, where he only confirms the transfer. The payment takes several seconds and is free from the risk of making a typing error.
